Concierge Practice Operations Partner
PracticePoint Co. partners with concierge and private medical practices to bring clarity, structure, and operational excellence to patient agreements, membership workflows, and administrative systems so physicians can focus on what they do best.
What We Do
Every engagement is built around the specific needs of your practice. PracticePoint Co. is not a virtual assistant service or remote receptionist company. We are a concierge practice operations partner with real insider experience in private medicine.
Review of your membership agreements, retainer contracts, and patient-facing documents for clarity, consistency, and administrative soundness.
Review and refinement of your enrollment, renewal, and offboarding processes so nothing falls through the cracks at any stage of the membership lifecycle.
Review and refinement of your digital signature workflows, document routing logic, delivery processes, and patient completion experience across your e-signature system of choice.
Creation and documentation of clear, repeatable standard operating procedures for your front-office and administrative team.
Review and improvement of your payment tracking, reconciliation processes, and the spreadsheets or tools your team relies on daily.
Review of renewal outreach, onboarding communications, and the patient-facing touchpoints that shape your practice's first impression.
How We Work
PracticePoint Co. offers two distinct types of support: operational advisory and hands-on membership coordination. The right fit depends on what your practice actually needs.
A focused review of your practice's current administrative systems, workflows, patient agreement process, renewal process, communication flow, and operational pain points. This is the natural starting point for practices that want clarity on where things stand and what to prioritize.
Written recommendations are typically delivered within 3 to 5 business days after all requested materials are received.
Ongoing operational guidance for practices that want strategic support without adding another full-time administrative role. Your internal team continues to handle daily execution. PracticePoint Co. provides the structure, refinement, and operational thinking to keep things running well.
Pricing scales based on patient panel size, physician count, operational complexity, and engagement scope.
For practices that need more than guidance, Membership Operations Support provides hands-on coordination for the administrative side of concierge membership workflows. This tier involves direct follow-up, tracking, and member coordination on behalf of the practice and is scoped and priced accordingly.
This tier is selective. Engagements are scoped individually based on practice size, panel complexity, and operational needs.
Please note: PracticePoint Co. provides administrative and operational consulting only. We do not provide legal, medical, billing, coding, compliance, or financial advice. Practices should consult their own legal counsel and compliance advisors for any regulatory or legal review.
How It Works
A straightforward, respectful process. Your time is valuable and we treat it that way.
We start with a brief call to understand your practice, your current administrative challenges, and the level of support that makes sense for where you are right now.
We confirm whether your needs are best suited for a one-time Operations Review, Ongoing Advisory Support, or Membership Operations Support, and document the agreed scope before work begins.
You share the relevant workflows, agreements, spreadsheets, SOPs, e-signature and document processes, and operational materials related to the engagement scope.
For advisory engagements, we review your materials and deliver practical recommendations, workflow observations, and a prioritized action plan. For hands-on support engagements, we organize the agreed membership workflow based on the confirmed scope.
We walk through findings, recommendations, or workflow updates together and determine whether ongoing support is the right next step for your practice.
Why PracticePoint Co.
PracticePoint Co. was built from inside concierge medicine, not from a consulting textbook. Every recommendation comes from someone who has lived inside the administrative reality of a high-touch private practice: the patient agreements, the membership renewals, the e-signature workflows, the tracking spreadsheets, the SOP gaps.
We speak your language. We understand the nuances of concierge operations that general healthcare consultants miss. And we work with a small, selective roster of practices so every engagement gets real attention, not a junior associate.
Built from real concierge practice experience, not theory.
We work with a limited number of practices at a time, by design.
Written findings and action plans your team can actually use.
We focus on what actually moves the needle inside a concierge practice.
About
PracticePoint Co. was founded by a Practice Manager with direct, hands-on experience inside a concierge internal medicine practice, overseeing patient agreements, membership renewals, e-signature workflows, admin SOPs, payment tracking, patient communications, and day-to-day front-office operations.
After years of building and refining the operational infrastructure that makes concierge medicine run, the realization was simple: most private practices are leaving efficiency, clarity, and patient experience on the table. Not because they lack clinical excellence, but because the administrative foundation hasn't kept up.
PracticePoint Co. exists to close that gap. Quietly. Precisely. Without disrupting the physician-patient relationship that makes your practice worth fighting for.
FAQ
Written recommendations are typically delivered within 3 to 5 business days after all requested materials are received. Timing may vary depending on the amount and complexity of materials provided.
We work primarily with concierge internal medicine practices, direct primary care (DPC) practices, boutique specialty offices, and other high-touch private medical practices. If your practice is membership-based or retainer-based, you are likely a good fit.
Ongoing Advisory Support is designed for practices that need strategic operational guidance without adding another full-time administrative role. It may include workflow refinement, SOP creation and cleanup, renewal process guidance, patient agreement workflow guidance, e-signature and document process organization, tracking spreadsheet improvement, communication template guidance, and scheduled strategy calls. Your internal team continues handling daily execution.
This depends on the engagement. Ongoing Advisory Support may include guidance and process setup for agreements and renewals. Hands-on sending, tracking, and follow-up are part of Membership Operations Support and must be scoped separately. That work is more labor-intensive and is priced accordingly.
Not by default. Advisory engagements focus on reviewing and improving the onboarding workflow. Hands-on onboarding coordination, patient agreement tracking, and follow-up can be included under Membership Operations Support if specifically scoped.

The Operations Review is a flat $1,500. Advisory support starts at $2,000 per month. Membership Operations Support is custom quoted individually based on scope.
No. PracticePoint Co. provides administrative and operational consulting only. We do not provide legal, medical, billing, coding, compliance, or financial advice.
